The ICC recommends identifying the rule, the precise named place or port, and the version in the contract—for example, “FOB Yantian, Incoterms® 2020,” rather than simply writing “FOB.”

That last detail is not paperwork trivia.

It defines the deal.

Before any shipping term is selected, the manufacturing scope also needs to be fixed. Trim size, page count, paper, binding, quantity, carton configuration, gross weight, and destination can materially change freight economics. JetPrint’s custom book printing specification process is therefore a better starting point than asking a supplier, “How much is DDP shipping?”

EXW: The Factory Price That Pushes the Work Back to You

EXW means Ex Works.

Under Incoterms® 2020, the seller delivers when the goods are placed at the buyer’s disposal at the named location, such as the printing factory or warehouse. The seller does not have to load the collecting vehicle and generally does not take responsibility for export clearance under the EXW rule.

It looks wonderfully cheap.

Of course it does.

The quotation stops before most of the logistics work starts.

For a book order produced in Shenzhen, an EXW quote can leave the buyer responsible for arranging pickup, coordinating the local carrier, handling origin logistics, managing export formalities, booking international freight, arranging cargo insurance, clearing the shipment at destination, and moving the cartons or pallets to the final warehouse.

The ICC itself makes an important point that many online comparison charts omit: EXW is primarily suited to domestic trade, and its guidance directs parties toward FCA when the seller should handle export clearance. ICC’s Incoterms® 2020 checklist

That should make experienced importers stop for a second.

If you already have a freight forwarder in China, negotiated carrier contracts, customs expertise, and reliable origin agents, EXW can give you substantial control.

But if this is your first 2,000-copy hardcover order from overseas?

The apparently lower price may simply be a shorter price.

When EXW Makes Sense

I would consider EXW when the buyer already controls an established international logistics network and deliberately wants responsibility from the factory gate onward.

That can suit print distributors, large publishers, sourcing companies, or buyers consolidating books with merchandise from several factories into one shipment.

It is far less attractive when the buyer has no origin-side logistics infrastructure.

Before making that decision, compare the factory price with the full cost model described in JetPrint’s book printing MOQ and landed-cost guide. Freight per copy can move in the opposite direction from manufacturing cost per copy, especially when carton count, pallet footprint, cubic metres, or shipping mode changes.

EXW vs FOB vs CIF vs DDP for Book Printing Orders

FOB: Popular for Book Printing, With One Technical Catch

FOB means Free On Board.

Under FOB, the seller handles export clearance and delivers the goods on board the vessel nominated by the buyer at the named port. Risk transfers to the buyer once the goods are on board. From that point, the buyer normally bears the principal ocean freight and subsequent costs.

For experienced overseas book buyers, that division can be attractive.

The printer handles the Chinese export side. The buyer or its forwarder controls the main freight.

But FOB gets messy.

Here is the technical issue that deserves more attention: the ICC states that FOB is intended for sea or inland-waterway shipments where delivery occurs by placing the goods on board the vessel. Where containerized cargo is handed to a carrier at a container terminal before vessel loading, the ICC says parties should consider FCA — Free Carrier instead.

That is awkward because FOB remains deeply embedded in Asian export quotations.

Commercial habit and technical precision are not always the same thing.

For that reason, I would never approve a purchase order that says only:

FOB China

I would want something much closer to:

FOB Yantian, Shenzhen, Incoterms® 2020

And I would want the forwarder and printer to agree on who is booking the container, who pays origin terminal charges, what documentation is required, and exactly where the operational handoff occurs.

This is also why supplier evaluation should extend past press equipment. JetPrint’s guide to choosing a book printing company in China shows why shipping terms, packing requirements, inspection criteria, and production specifications belong in the commercial brief rather than being negotiated after printing.

CIF: Freight Included Does Not Mean Risk Included

CIF causes more misunderstanding than it should.

CIF means Cost, Insurance and Freight. The seller contracts and pays for carriage to the named destination port and provides the required cargo insurance.

Sounds simple.

But who carries the risk while the ship is crossing the ocean?

The buyer.

Under Incoterms® 2020, CIF follows a split that surprises inexperienced importers: the seller pays freight to the destination port, yet risk normally transfers when the goods have been loaded on board the vessel at the origin port.

The money travels farther than the risk.

That is the sentence I would remember.

There is another catch. The ICC’s 2020 checklist states that CIF requires the seller to obtain minimum insurance coverage, commonly associated with Institute Cargo Clauses (C) or similar protection. Buyers shipping high-value art books, foil-stamped hardcovers, slipcased collector editions, or moisture-sensitive paper products should not read “insurance included” as “every plausible loss is fully insured.”

Read the policy.

Ask about exclusions.

Ask about insured value.

Ask who files the claim.

And photograph the cargo before the container is sealed.

CIF vs FOB Is Mostly About Freight Procurement, Not the Risk Point

This is where procurement teams often compare the wrong things.

With FOB, the buyer arranges and pays the principal freight.

With CIF, the seller arranges and pays the principal freight plus the required insurance.

But risk under both terms can pass at origin once the goods are on board.

The ICC has specifically highlighted this misconception: the difference between FOB and CIF is heavily connected to cost and freight responsibility, while their risk-transfer point is much closer than many buyers assume.

So when a printer offers CIF, ask for enough information to test the freight component against your own forwarder’s rate.

Do not assume bundled freight is automatically expensive.

And do not assume it is automatically competitive.

Benchmark it.

DDP: Convenient for the Buyer, Heavy for the Seller

DDP means Delivered Duty Paid.

Among the eleven Incoterms® rules, the ICC describes DDP as imposing the maximum level of obligation on the seller. The seller carries the goods to the named destination, clears them for import, pays applicable import duties and taxes, and delivers them ready for unloading.

That can make DDP extremely attractive to a publisher.

One supplier.

One delivered price.

Far fewer logistics calls.

But simplicity on the buyer’s invoice can hide complexity behind the shipment.

The exporter may need destination-country customs representation, an importer structure, tax registrations, brokerage arrangements, accurate tariff classification, and a method for paying duties or taxes legally.

Take the United States as one example. U.S. Customs and Border Protection explains that imported shipments use an Importer of Record Number; foreign entities without a U.S. EIN or SSN may need a Customs Assigned Importer Number, with CBP Form 5106 forming part of that process. CBP’s current importer-number guidance

That does not make DDP bad.

It makes vague DDP bad.

If a printer offers DDP, I would ask:

What exact delivery address is included?

Is customs brokerage included?

Are import duties included?

Are destination taxes included where applicable?

Are port, terminal, documentation, chassis, appointment, residential, liftgate, or remote-area charges included where relevant?

What happens if customs requests additional documentation?

Is unloading included? Under standard DDP, delivery is generally ready for unloading, not unloaded.

Which company acts as importer where an importer is required?

Does the quotation state DDP [exact named place], Incoterms® 2020?

That conversation matters more than the three letters.

Freight Volatility Is Why Incoterms Matter More Than Buyers Think

Books are heavy.

Paper is unforgiving.

A shipment of 5,000 hardcovers cannot be treated like a parcel of electronics accessories where international freight represents a trivial fraction of the order.

Recent shipping data makes the point.

UN Trade and Development reported that the Shanghai Containerized Freight Index averaged 2,496 points in 2024, 149% higher than in 2023. It also reported that by May 2025, tonnage passing through the Suez Canal remained 70% below 2023 levels as rerouting continued. UNCTAD’s Review of Maritime Transport findings

Then conditions moved again.

On September 17, 2026, Reuters reported China-to-U.S. East Coast spot shipping prices reaching about $10,948 per 40-foot container, approaching the roughly $11,900 pandemic-era peak recorded in January 2022. Reuters’ September 2026 container-freight report

That is why I dislike articles that describe FOB, CIF, and DDP as if they were permanent price levels.

They are responsibility structures.

Freight itself moves.

Fast.

A CIF quotation that looks attractive this month could be poor against the spot market next month. A DDP quotation might protect the buyer from logistics administration, but the seller may price volatility, customs risk, and last-mile uncertainty into its margin.

And FOB may give a professional importer the most transparent freight control while giving an inexperienced author several new problems to solve.

The letters do not create the economics.

They decide who manages them.

EXW vs FOB vs CIF vs DDP for Book Printing Orders

Book Printing Shipping Terms Should Be Compared on Landed Cost

Here is the number I care about:

Landed cost per usable book.

Not factory cost.

Not ocean freight alone.

And definitely not the headline unit price.

A practical landed-cost model can include:

Printing + proofing + packing + origin handling + international freight + insurance + customs brokerage + duties/taxes where applicable + destination charges + final delivery + storage + damage allowance

Then divide that number by the quantity of usable books received.

This becomes especially important when comparing hardcover and paperback projects. A change in paper basis weight, page count, board thickness, trim size, or packing method can change gross weight and cubic volume even when the print quantity stays identical.

You gain control.

You also inherit work.

If you cannot comfortably explain how export clearance, factory pickup, origin handling, and carrier booking will happen, EXW is probably giving you responsibility you are not prepared to manage.

Choose FOB When You Have a Strong Freight Forwarder

FOB remains commercially common for bulk printing orders because the supplier can manage export procedures while the buyer controls international freight and destination logistics.

For professional importers, that control can make freight pricing easier to audit.

Just remember the ICC’s container-shipment warning about FCA.

“Everyone uses FOB” is not a technical argument.

Choose CIF When You Want the Printer to Book Ocean Freight

CIF can make sense when the printer has competitive freight contracts and the buyer is comfortable managing destination customs and inland delivery.

But get competing freight numbers.

And review insurance coverage.

CIF is not door delivery, and it does not leave transport risk with the seller all the way to the destination port.

That misconception gets expensive.

Choose DDP When You Want a Defined Delivered Cost

DDP can be attractive for publishers, independent authors, schools, corporate buyers, and smaller importers that do not want to manage international logistics themselves.

But demand clarity.

A DDP offer should identify the exact named destination and clearly state which customs, tax, brokerage, terminal, and final-delivery charges have been included.

Otherwise “door to door” is just marketing language.

The Purchase Order Wording I Would Insist On

Never write only:

FOB

Write:

FOB Yantian, Shenzhen, China — Incoterms® 2020

Never write only:

CIF USA

Write something such as:

CIF Port of Long Beach, California, USA — Incoterms® 2020

And do not approve:

DDP warehouse

Use the actual agreed named delivery place.

The ICC recommends the basic construction:

[Chosen Incoterms® rule] + [named port/place/point] + Incoterms® 2020.

Small sentence.

Big protection.

Then treat that shipping clause as one part of the purchase contract, not the whole contract. Paper specification, printing tolerance, binding construction, proof approval, packing, inspection, payment, delay handling, ownership, and dispute provisions still need their own terms because Incoterms® do not govern all of them.

EXW vs FOB vs CIF vs DDP for Book Printing Orders

FAQs

What is the best Incoterm for book printing orders?

The best Incoterm for a book printing order is the one that matches who can control freight, customs, insurance, and destination delivery most efficiently; experienced importers often want more control, while buyers without freight infrastructure may prefer a seller-managed option, provided the quote defines every included charge.

For many established importers, FOB or sometimes FCA provides useful freight control. CIF can suit buyers who want the printer to contract ocean freight while retaining destination-side responsibility. DDP can reduce logistics administration for the buyer. EXW gives the buyer the greatest origin-side responsibility.

Do not choose on terminology alone.

Compare landed cost.

What is the difference between EXW and FOB for book printing?

EXW places almost all transport and clearance responsibility on the buyer once the books are made available at the named place, while FOB requires the seller to clear the export and deliver the cargo on board the nominated vessel at the named port before risk transfers.

That difference can be significant for books manufactured overseas because EXW requires the buyer to organize the origin-side movement.

FOB generally shifts more origin responsibility to the printer.

For containerized freight, however, ICC guidance notes that FCA may be technically more appropriate when goods are handed to the carrier at a container terminal before loading on the ship.

Does CIF include insurance for a book printing order?

CIF includes seller-arranged ocean freight and seller-provided cargo insurance to the named destination port, but the buyer should not confuse that cost arrangement with risk transfer, because under Incoterms® 2020 the risk normally passes when the goods are loaded on board the vessel at origin.

The insurance requirement under CIF is also based on minimum coverage under the ICC framework. High-value books, collector editions, special finishes, or other sensitive products may justify broader cargo protection.

Check the actual policy rather than relying on the word “insured.”

Is DDP the safest Incoterm for importing printed books?

DDP gives the buyer the least operational responsibility among these four terms because the seller bears the transport risk and handles export and import clearance through the named destination, but it is only practical when the seller can legally and operationally manage the destination country’s customs, taxes, and importer requirements.

DDP can therefore be convenient without automatically being the cheapest option.

The seller may include freight volatility, brokerage, customs administration, last-mile delivery, and compliance risk in the delivered quotation.

Ask exactly what the price includes.

Why is FOB commonly used for bulk book printing?

FOB remains popular for bulk book printing because it gives the printer responsibility through export clearance and vessel loading while allowing the buyer or forwarder to control the main ocean freight, destination customs, and final delivery, although ICC guidance says FCA is technically more appropriate for many container-terminal handoffs.

For publishers with established freight forwarders, that separation can provide better visibility into international transport pricing.

For first-time importers, however, controlling freight also means managing booking, insurance, destination customs, port charges, and inland delivery.

How should I compare EXW, FOB, CIF, and DDP quotations?

Compare EXW, FOB, CIF, and DDP quotations by converting every offer into the same landed-cost basis, including printing, packing, origin charges, freight, insurance, customs brokerage, applicable duties or taxes, destination handling, and final delivery to the same address rather than comparing the suppliers’ headline totals.

Also make sure every supplier is quoting the identical book specification.

A 157gsm coated-paper hardcover and a 128gsm version do not create the same freight bill. Neither do 12kg cartons and 20kg cartons.

Control the physical specification first.

Then compare logistics.

Price the Landed Book, Not the Factory Invoice

EXW vs FOB vs CIF vs DDP is not really a vocabulary question.

It is a control question.

Who controls the freight?

Who controls customs?

Who pays when something goes wrong?

Where does the risk transfer?

And what will one saleable book actually cost when it reaches your warehouse?

Get those answers before approving production.

If you are preparing a new book order, send JetPrint the trim size, page count, paper, binding, quantity, finishing requirements, packing requirements, and final delivery city or warehouse address.
